Yavapai Libraries Move to Koha Library Software

 Libraries across the County are excited to move to a new software system this June. The software that was selected, after a rigorous evaluation process, was Koha, which is managed and developed by ByWater. The move to Koha is an exciting step for the Yavapai Library Network (YLN). Here are the key dates and facts that library patrons should know:

•  Why are the libraries changing software? The contract with our current library software vendor 
expires at the end of June. Following a year-long assessment, Koha was chosen. Koha is used behind 
the scenes by library staff, while Aspen Discovery, the public catalog, will remain unchanged.

•  When will the migration take place? The transfer of data for all YLN Libraries will begin at 
 5:00 P.M. June 14th and continue through the weekend. Monday June 17th is the Go Live Day when all  YLN libraries will begin using the new library software.

•  Who will be affected by the migration? All 59 libraries in the YLN will transition to Koha. 
Staff will learn the new system for checking out, checking in, purchasing, adding items to shelves, 
managing holds, and more. Training is already underway.

•  What will happen to my information? User information, including saved lists, history, holds, 
linked accounts, OverDrive accounts, room reservations, and personal information, will transfer to 
the new system.

•  Which library services will be affected during the migration weekend? From 5:00 P.M. on June 
     14th until Monday morning, June 17th, please note the following:
          o Borrowing materials: if your library is remaining open, you will still be able to check out 
          materials. You must have your physical library card to check out.
          o The self-checkout stations will be unavailable.
          o The online catalog will be available for searching but holds cannot be placed.
          o New library cards will not be issued.
          o Items returned to your library will not be checked in until Monday or Tuesday.
          o OverDrive and Libby will be accessible during the migration.
          o The Yavapai Events Calendar (Y.E.S.) will not be affected.
